Terms & Conditions
Click on the Terms & Conditions below to expand. These apply to any ACG event hosted by the ACG or an External Host in association with the ACG.
These Terms & Conditions, together with any commercial terms (together referred to as Attendee Agreement), apply to you (Attendee, you, and your) when you register to attend an Australian Centre for Geomechanics (ACG) event (conference, workshop, seminar, and/or short course) and/or associated event (conference workshop, conference dinner, and/or site visit) that is hosted either by the ACG or by an external body (External Host). By registering as a Attendee, you acknowledge that the Terms & Conditions have been read, understood, and accepted. The Attendee acknowledges and agrees that these Terms & Conditions apply whether the event is held in-person, online, or both in-person and online.
1. Agreement formation
1.1. This Agreement applies to you if you have:
1.1.1. Registered and paid to attend an ACG event as an Attendee; or
1.1.2. Been invited by the ACG to attend an ACG event.
2. Exclusivity and term
2.1. This Agreement commences on the date that the ACG receives your registration as an Attendee until the completion of the event, unless stated otherwise.
3. Registration
3.1. Registration is managed and processed through the event website or directly via the ACG or the External Host.
3.2. Attendee fees are as stated on the website or on the registration form. The fees are to be paid in the specified currency and may include taxes, where applicable, but do not include bank fees of any kind that may arise.
3.3. To be eligible to register as an Attendee but at the student rate, you must provide evidence of full-time enrolment at a tertiary institution to the ACG or External Host at the time of registration. Failure to provide this will result in your registration being refunded.
3.4. Attendees will receive confirmation of registration and event information from the ACG or External Host via email or via the event website.
3.5. If the Attendee wishes to transfer their Speaker registration to another Attendee, they may do so at no additional cost.
4. Personal information
4.1. All personal information is used by the ACG in accordance with the UWA Privacy Policy.
4.2. The External Host will only use personal information to communicate with you regarding the event and/or any associated events which you have registered to attend, and in accordance with their respective privacy policies. Please visit the event website for this information.
4.3. All personal information will also be used in accordance with the laws of the host city and/or country.
4.4. For Attendees located in the European Union and the United Kingdom, personal information will be used by the ACG in accordance with the General Data Protection Regulations (GDPR).
4.5. The ACG’s primary use for personal information will be for documenting attendance at the event and for future marketing. Attendees will only be contacted for future marketing if they have granted the ACG with permission to do so at the time of registration.
4.6. Authorised conference and/or associated event attendee lists will be given to sponsors and attendees and will also include details of Attendees who gave permission for this at the time of registration. Lists may be used for future marketing purposes by sponsors.
5. Photography and video
5.1. You acknowledge that by attending an event, you may be photographed and/or video recorded by the ACG or the External Host, and that the photographs and/or video recordings may be used by the ACG in any way and by the External Host to promote that particular event.
5.2. You may take photography at any event but you are not permitted to photograph any presentation unless it is your own or your company’s. You are not permitted to make any audio or video recording of any event.
6. Changes to conference and/or associated event/s
6.1. The ACG reserves the right to make make changes to any event. This includes, but is not limited to, changes to the format, dates, timing, and content of the event schedule and/or presentations and speakers.
7. Cancellation of registration
7.1. Speakers may request cancellation of their registration in writing to the ACG. In the event that the Speaker cancels, a refund will be issued in accordance with the following:
7.1.1. Cancellation up to 8 days before event = full refund minus AUD 150 (+ GST) administration fee (or the nominated amount in the External Host’s currency)
7.1.2. Cancellation 7 days or less before event = no refund
7.1.3. Non-attendance = no refund
8. Cancellation of event
8.1. The ACG reserves the right to cancel any event at any time and for any reason and accordingly be released from their obligation to the Attendee in accordance with these Terms & Conditions.
8.2. In the event of cancellation by the ACG, a full refund of fees paid will be given. The Attendee will not be entitled to any further fees from the ACG or have any claim against the ACG in respect of cancellation of any event.
9. Limitation of liability
9.1. The information contained in the presentations is for general educational and informative purposes only. Except to the extent required by law, the ACG makes no representations or warranties, express or implied, as to the accuracy, reliability, or completeness of the information stored therein.
9.2. To the extent permitted by law, the ACG will not be held liable for any loss or damage (including direct, indirect, special, or consequential) arising out of or in connection with any event. This includes:
9.2.1. The Attendee’s reliance on anything contained in, or omitted from, any event (including, but not limited to, visual and audio presentations by speakers and sponsors).
9.2.2. The Attendee’s inability to access any event and/or any associated services for any reason.
9.2.3. The failure of any event and/or any associated services for any reason.
9.3. The Attendee acknowledges that the information provided at any event is to assist the Attendee with undertaking their own enquiries and analyses and that the Attendee should seek independent professional advice before acting in reliance on the information contained therein. Whilst all care has been taken in presenting this information herein, no liability is accepted for errors or omissions. The views expressed in the presentations are those of the individual speakers and may not necessarily reflect those of the ACG.
9.4. To the extent permitted by law, the ACG and the External Host will not be held liable for failure to perform under these Terms & Conditions to the extent such performance is affected by a force majeure event. A force majeure event is defined as any of the following, whether or not foreseeable or anticipated: Acts of God, terrorism, war, civil unrest, strike or labour dispute, breakdown, labour or material shortage, blockade or embargo, supplier failure, epidemic or pandemic (including COVID-19), government restriction or recommendation, legal requirement, extreme weather, earthquake, drought, fire, flood, explosion, natural disaster, and/or any other event, cause or circumstance that is beyond the ACG’s reasonable control.
10. Miscellaneous
10.1. These Terms & Conditions are governed by the laws of Western Australia, Australia. The Speaker submits to the jurisdiction of the courts in Western Australia to determine any matter or dispute which arises under these Terms & Conditions.
10.2. If any provision of these Terms & Conditions is deemed invalid or unenforceable, all or part of that provision will be severed from this document and will not affect the enforceability of the remaining provisions of the Terms & Conditions.
11. Changes to Terms & Conditions
11.1. These Terms & Conditions are subject to change by the ACG at any time.

1. Agreement formation
1.1. This Agreement applies to you if you have:
1.1.1. Submitted an accepted paper as an Author (or a representative of the Authors) for publication at an ACG event; and/or
1.1.2. Registered as a Speaker for an ACG event.
2. Exclusivity and term
2.1. This Agreement commences on the date that the ACG or External Host receives:
2.1.1. Your submitted accepted paper; and/or
2.1.2. Your payment as a Speaker
and continues up until the completion of the event, unless stated otherwise.
3. Speaker registration
3.1. Speaker registration is managed and processed through the event website or directly via the ACG or the External Host.
3.2. Speaker fees are as stated on the website or on the registration form. The fees are to be paid in the specified currency and may include taxes, where applicable, but do not include bank fees of any kind that may arise.
3.3. To be eligible to register as a Speaker, you must wait for the ACG publications team to confirm your paper has been accepted and invited to register as a Speaker.
3.4. Only one person per presentation may register at the Speaker rate. Co-presenters must register at the Attendee rate, unless they are separately registered to present another paper themselves.
3.5. To be eligible to register as a Speaker but at student rate, you must provide evidence of full-time enrolment at a tertiary institution to the ACG or External Host at the time of registration. Failure to provide this will result in your registration being refunded.
3.6. Speakers will receive confirmation of registration and event information from the ACG or External Host via email or via the event website.
3.7. If the Speaker wishes to transfer their Speaker registration to another Speaker, they may do so at no additional cost.
4. Editorial process for conference papers
4.1. The ACG publications team will undertake a full editorial process and this is considered to commence upon receipt of your abstract.
5. Publication and presentation
5.1. For events where a paper is being published and presented, Speaker registration secures the Speaker’s presentation in the event program, initiates the proofreading and editing process to prepare the paper for publication, and secures the paper’s place in the conference proceedings.
5.2. For events where only a presentation is being given, Speaker registration secures the Speaker’s presentation in the event program.
5.3. Speakers must submit their signed publication agreement. Without this, papers will not be published in the conference proceedings.
5.4. All required permissions, approvals, authorisations, licences and/or consent have been obtained from all parties potentially affected by the publication of this paper, including but not limited to authors, companies, and mine sites.
5.5. Speakers must submit a PowerPoint presentation via ProMPT (or WeTransfer to publications-acg@uwa.edu.au if the file is too large) if it contains video or audio files.
6. Personal information
6.1. All personal information is used by the ACG in accordance with the UWA Privacy Policy.
6.2. The External Host will only use personal information to communicate with you regarding the event and/or any associated events which you have registered to attend, and in accordance with their respective privacy policies. Please visit the event website for this information.
6.3. All personal information will also be used in accordance with the laws of the host city and/or country.
6.4. For Authors and Speakers located in the European Union and the United Kingdom, personal information will be used by the ACG in accordance with the General Data Protection Regulations (GDPR).
6.5. The ACG’s primary use for personal information will be for documenting attendance at the event and for future marketing. Authors and Speakers will only be contacted for future marketing if they have granted the ACG with permission to do so at the time of registration.
6.6. Authorised conference and/or associated event attendee lists will be given to sponsors and attendees and will also include details of Speakers who gave permission for this at the time of registration. Lists may be used for future marketing purposes by sponsors.
7. Photography and video
7.1. You acknowledge that by attending an event, you may be photographed and/or video recorded by the ACG or the External Host, and that the photographs and/or video recordings may be used by the ACG in any way and by the External Host to promote that particular event.
7.2. You may take photography at any event but you are not permitted to photograph any presentation unless it is your own or your company’s. You are not permitted to make any audio or video recording of any event.
8. Changes to conference and/or associated event/s
8.1. The ACG reserves the right to make make changes to any event. This includes, but is not limited to, changes to the format, dates, timing, and content of the event schedule and/or presentations and Speakers.
9. Cancellation of registration
9.1. Speakers may request cancellation of their registration in writing to the ACG. In the event that the Speaker cancels, a refund will be issued in accordance with the following:
9.1.1. Cancellation up to 8 days before event = full refund minus AUD 150 (+ GST) administration fee (or the nominated amount in the External Host’s currency)
9.1.2. Cancellation 7 days or less before event = no refund
9.1.3. Non-attendance = no refund
9.2. If the Speaker registers and subsequently withdraws their conference paper, an editorial fee of AUD 660 (GST inclusive), or the equivalent exchange in the External Host’s currency, will be withheld by the ACG. The Speaker is entitled to attend the conference but will need to pay the difference between a Speaker registration and an attendee registration.
10. Cancellation of event
10.1. The ACG reserves the right to cancel any event at any time and for any reason and accordingly be released from their obligation to the Speaker in accordance with these Terms & Conditions.
10.2. In the event of cancellation by the ACG, a full refund of fees paid will be given. The Speaker will not be entitled to any further fees from the ACG or have any claim against the ACG in respect of cancellation of any event.
11. Limitation of liability

By applying to be a Sponsor/Exhibitor, you acknowledge that the Terms & Conditions have been read, understood, and accepted. You acknowledge and agree that these Terms & Conditions apply whether the event is held in-person, online, or both in-person and online.
1. Agreement formation
1.1. This Agreement applies to you if you have:
1.1.1. Accessed a Sponsorship Package and submitted an application form to the ACG and the ACG has accepted you as a Sponsor/Exhibitor for an event; or
1.1.2. Contacted the ACG to sponsor an event and the ACG confirmed your acceptance as a Sponsor/Exhibitor and provided you with these Terms & Conditions.
2. Exclusivity and term
2.1. This Agreement commences on the date that the ACG accepts you as a Sponsor/Exhibitor and continues until the completion of the event, unless stated otherwise.
2.2. The Sponsor/Exhibitor, unless otherwise stated, will not be the exclusive Sponsor/Exhibitor at an ACG event.
2.3. All Sponsor/Exhibitor benefits are provided on a non-exclusive basis.
3. Fees
3.1. Sponsor/Exhibitor fees are as stated in the Sponsorship Package and include the specified package, unless an amendment is made in negotiation with the ACG.
3.2. The fees are in the specified currency and may include taxes, where applicable, but do not include bank fees or insurance of any kind that may arise.
3.3. Fees are to be paid prior to Sponsor/Exhibitor recognition, unless prior arrangement has been made with the ACG.
4. Entitlements
4.1. All Sponsor/Exhibitor entitlements (as outlined in the Sponsorship Package) must be taken up/supplied by the date specified by the ACG in communication with the Sponsor/Exhibitor, unless the Sponsor/Exhibitor notifies the ACG prior that the entitlements are released. Failure to meet deadlines may result in the loss of specific entitlements. The ACG will advise deadlines for exhibitor materials (video content, downloadable PDFs etc).
4.2. Any additional or custom exhibition booth items are subject to ACG approval. Once approved, all additional or custom exhibition booth items will be arranged and paid for by the Sponsor/Exhibitor directly with the exhibition supplier.
5. Sponsor/Exhibitor activities
5.1. Sponsor/Exhibitor is responsible for obtaining any approvals, permits, or licences required under local, State, or Federal laws that are applicable to their Sponsor activity.
5.1. The ACG will not be subject to any liability whatsoever in connection with Sponsor/Exhibitor agreements with third parties.
5.3. Sponsor/Exhibitor may only conduct competitions or offer prizes with the written permission of the ACG.
5.4. Promotion of Sponsor/Exhibitor products and services may only take place within the Sponsor/Exhibitor’s allocated exhibit unless expressly stipulated as part of the entitlements.
5.5. It is strictly forbidden to allow anyone who is not a paid and registered Sponsor/Exhibitor to solicit or canvass on the Sponsor/Exhibitor’s behalf.
5.6. Exhibit information and requirements will be provided to the Sponsor/Exhibitor before the event to assist in the preparation of exhibit material. The ACG reserves the right to alter or change the platform and aesthetics of the exhibition area and will advise the Sponsor/Exhibitor of any such changes.
6. Interactive sponsor/exhibitor exhibits
6.1. Sponsor/Exhibitor is responsible for obtaining any approvals, permits, or licences required under local, State, or Federal laws that are applicable to the Sponsor/Exhibitor’s interactive exhibit.
6.2. Any interactive Sponsor/Exhibitor exhibits that are deemed to be hazardous by the venue, or fall under venue safety protocols, are subject to whatever documentation the venue requires.
6.3. The ACG will not be subject to any liability whatsoever in connection with Sponsor/Exhibitor interactive exhibits.
6.4. A representative from the Sponsor/Exhibitor company must be in attendance when the interactive exhibit is in use.
6.5. The interactive exhibit must remain within the confines of the exhibition booth at all times, unless agreed to by the venue and the ACG prior to the commencement of the event.
7. Registration of sponsor/exhibitor attendees
7.1. Registration for an event, if included as an entitlement of the Sponsorship Package, will be made in communication with the ACG.
7.2. Additional registrations, or where registration/s are not included in the sponsorship entitlements, will be made through the event’s website or via the registration form in communication with the ACG.
7.3. Attendee fees (if applicable) are as stated on the event’s website or on the registration form, unless otherwise negotiated with the ACG.
7.4. Attendees will receive confirmation of registration and event information from the ACG via email and on the event’s website.
7.5. Please refer to the Event Attendee Terms & Conditions. Sponsor attendees acknowledge that they are bound to the Event Attendee Terms & Conditions.
8. Photography and video

12. Cancellation of sponsorship
12.1. The Sponsor/Exhibitor may request cancellation of their sponsorship in writing to the ACG. Any funds already paid will be rolled over to a future ACG event. A refund will not be issued.
12.2. Upon cancellation, the ACG shall be entitled to remove the Sponsor/Exhibitor’s name, logo, and any other material relating to the Sponsor/Exhibitor from all event media. Due to the time constraints involved with the preparation of event material, the Sponsor/Exhibitor acknowledges that the ACG may be unable to remove or cover the Sponsor/Exhibitor’s details upon cancellation.
12.3. Accordingly, the Sponsor/Exhibitor further acknowledges that the ACG may, at its discretion, continue to use this information after cancellation. However, the exhibit may be allocated to another Sponsor/Exhibitor at the discretion of the ACG.

4.4. For Attendees located in the European Union and the United Kingdom, personal information will be used by the ACG in accordance with the General Data Protection Regulations (GDPR).
4.5. The ACG’s primary use for personal information will be for documenting attendance at the event and for future marketing. Attendees will only be contacted for future marketing if they have granted the ACG with permission to do so at the time of registration.
4.6. Authorised conference and/or associated event attendee lists will be given to sponsors and attendees and will also include details of Attendees who gave permission for this at the time of registration. Lists may be used for future marketing purposes by sponsors.
5. Photography and video
5.1. You acknowledge that by attending an event, you may be photographed and/or video recorded by the ACG or the External Host, and that the photographs and/or video recordings may be used by the ACG in any way and by the External Host to promote that particular event.
5.2. You may take photography at any event but you are not permitted to photograph any presentation unless it is your own or your company’s. You are not permitted to make any audio or video recording of any event.
6. Changes to conference and/or associated event/s
6.1. The ACG reserves the right to make make changes to any event. This includes, but is not limited to, changes to the format, dates, timing, and content of the event schedule and/or presentations and speakers.
7. Cancellation of registration
7.1. Speakers may request cancellation of their registration in writing to the ACG. In the event that the Speaker cancels, a refund will be issued in accordance with the following:
7.1.1. Cancellation up to 8 days before event = full refund minus AUD 150 (+ GST) administration fee (or the nominated amount in the External Host’s currency)
7.1.2. Cancellation 7 days or less before event = no refund
7.1.3. Non-attendance = no refund
8. Cancellation of event
8.1. The ACG reserves the right to cancel any event at any time and for any reason and accordingly be released from their obligation to the Attendee in accordance with these Terms & Conditions.
8.2. In the event of cancellation by the ACG, a full refund of fees paid will be given. The Attendee will not be entitled to any further fees from the ACG or have any claim against the ACG in respect of cancellation of any event.
9. Limitation of liability
9.1. The information contained in the presentations is for general educational and informative purposes only. Except to the extent required by law, the ACG makes no representations or warranties, express or implied, as to the accuracy, reliability, or completeness of the information stored therein.
9.2. To the extent permitted by law, the ACG will not be held liable for any loss or damage (including direct, indirect, special, or consequential) arising out of or in connection with any event. This includes:
9.2.1. The Attendee’s reliance on anything contained in, or omitted from, any event (including, but not limited to, visual and audio presentations by speakers and sponsors).
9.2.2. The Attendee’s inability to access any event and/or any associated services for any reason.
9.2.3. The failure of any event and/or any associated services for any reason.
9.3. The Attendee acknowledges that the information provided at any event is to assist the Attendee with undertaking their own enquiries and analyses and that the Attendee should seek independent professional advice before acting in reliance on the information contained therein. Whilst all care has been taken in presenting this information herein, no liability is accepted for errors or omissions. The views expressed in the presentations are those of the individual speakers and may not necessarily reflect those of the ACG.
9.4. To the extent permitted by law, the ACG and the External Host will not be held liable for failure to perform under these Terms & Conditions to the extent such performance is affected by a force majeure event. A force majeure event is defined as any of the following, whether or not foreseeable or anticipated: Acts of God, terrorism, war, civil unrest, strike or labour dispute, breakdown, labour or material shortage, blockade or embargo, supplier failure, epidemic or pandemic (including COVID-19), government restriction or recommendation, legal requirement, extreme weather, earthquake, drought, fire, flood, explosion, natural disaster, and/or any other event, cause or circumstance that is beyond the ACG’s reasonable control.
10. Miscellaneous
10.1. These Terms & Conditions are governed by the laws of Western Australia, Australia. The Speaker submits to the jurisdiction of the courts in Western Australia to determine any matter or dispute which arises under these Terms & Conditions.
10.2. If any provision of these Terms & Conditions is deemed invalid or unenforceable, all or part of that provision will be severed from this document and will not affect the enforceability of the remaining provisions of the Terms & Conditions.
11. Changes to Terms & Conditions
11.1. These Terms & Conditions are subject to change by the ACG at any time.

These Terms & Conditions, together with any commercial terms (together referred to as Author/Speaker Agreement), apply to you (Author, Speaker, you, and your) when you register to attend an Australian Centre for Geomechanics (ACG) event (conference, workshop, seminar, and/or short course) and/or associated event (conference workshop, conference dinner, and/or site visit) that is hosted either by the ACG or by an external body (External Host). By registering as a Speaker, you acknowledge that the Terms & Conditions have been read, understood, and accepted. The Speaker acknowledges and agrees that these Terms & Conditions apply whether the event is held in-person, online, or both in-person and online.
1. Agreement formation
1.1. This Agreement applies to you if you have:
1.1.1. Submitted an accepted paper as an Author (or a representative of the Authors) for publication at an ACG event; and/or
1.1.2. Registered as a Speaker for an ACG event.
2. Exclusivity and term
2.1. This Agreement commences on the date that the ACG or External Host receives:
2.1.1. Your submitted accepted paper; and/or
2.1.2. Your payment as a Speaker
and continues up until the completion of the event, unless stated otherwise.
3. Speaker registration
3.1. Speaker registration is managed and processed through the event website or directly via the ACG or the External Host.
3.2. Speaker fees are as stated on the website or on the registration form. The fees are to be paid in the specified currency and may include taxes, where applicable, but do not include bank fees of any kind that may arise.
3.3. To be eligible to register as a Speaker, you must wait for the ACG publications team to confirm your paper has been accepted and invited to register as a Speaker.
3.4. Only one person per presentation may register at the Speaker rate. Co-presenters must register at the Attendee rate, unless they are separately registered to present another paper themselves.
3.5. To be eligible to register as a Speaker but at student rate, you must provide evidence of full-time enrolment at a tertiary institution to the ACG or External Host at the time of registration. Failure to provide this will result in your registration being refunded.
3.6. Speakers will receive confirmation of registration and event information from the ACG or External Host via email or via the event website.
3.7. If the Speaker wishes to transfer their Speaker registration to another Speaker, they may do so at no additional cost.
4. Editorial process for conference papers
4.1. The ACG publications team will undertake a full editorial process and this is considered to commence upon receipt of your abstract.
5. Publication and presentation
5.1. For events where a paper is being published and presented, Speaker registration secures the Speaker’s presentation in the event program, initiates the proofreading and editing process to prepare the paper for publication, and secures the paper’s place in the conference proceedings.
5.2. For events where only a presentation is being given, Speaker registration secures the Speaker’s presentation in the event program.
5.3. Speakers must submit their signed publication agreement. Without this, papers will not be published in the conference proceedings.
5.4. All required permissions, approvals, authorisations, licences and/or consent have been obtained from all parties potentially affected by the publication of this paper, including but not limited to authors, companies, and mine sites.
5.5. Speakers must submit a PowerPoint presentation via ProMPT (or WeTransfer to publications-acg@uwa.edu.au if the file is too large) if it contains video or audio files.
6. Personal information
6.1. All personal information is used by the ACG in accordance with the UWA Privacy Policy.
6.2. The External Host will only use personal information to communicate with you regarding the event and/or any associated events which you have registered to attend, and in accordance with their respective privacy policies. Please visit the event website for this information.
6.3. All personal information will also be used in accordance with the laws of the host city and/or country.

If the Speaker registers and subsequently withdraws their conference paper, an editorial fee of AUD 660 (GST inclusive), or the equivalent exchange in the External Host’s currency, will be withheld by the ACG. The Speaker is entitled to attend the conference but will need to pay the difference between a Speaker registration and an attendee registration.
10. Cancellation of event
10.1. The ACG reserves the right to cancel any event at any time and for any reason and accordingly be released from their obligation to the Speaker in accordance with these Terms & Conditions.
10.2. In the event of cancellation by the ACG, a full refund of fees paid will be given. The Speaker will not be entitled to any further fees from the ACG or have any claim against the ACG in respect of cancellation of any event.

1.1.2. Contacted the ACG to sponsor an event and the ACG confirmed your acceptance as a Sponsor/Exhibitor and provided you with these Terms & Conditions.
2. Exclusivity and term
2.1. This Agreement commences on the date that the ACG accepts you as a Sponsor/Exhibitor and continues until the completion of the event, unless stated otherwise.
2.2. The Sponsor/Exhibitor, unless otherwise stated, will not be the exclusive Sponsor/Exhibitor at an ACG event.
2.3. All Sponsor/Exhibitor benefits are provided on a non-exclusive basis.
3. Fees
3.1. Sponsor/Exhibitor fees are as stated in the Sponsorship Package and include the specified package, unless an amendment is made in negotiation with the ACG.
3.2. The fees are in the specified currency and may include taxes, where applicable, but do not include bank fees or insurance of any kind that may arise.
3.3. Fees are to be paid prior to Sponsor/Exhibitor recognition, unless prior arrangement has been made with the ACG.
4. Entitlements
4.1. All Sponsor/Exhibitor entitlements (as outlined in the Sponsorship Package) must be taken up/supplied by the date specified by the ACG in communication with the Sponsor/Exhibitor, unless the Sponsor/Exhibitor notifies the ACG prior that the entitlements are released. Failure to meet deadlines may result in the loss of specific entitlements. The ACG will advise deadlines for exhibitor materials (video content, downloadable PDFs etc).
4.2. Any additional or custom exhibition booth items are subject to ACG approval. Once approved, all additional or custom exhibition booth items will be arranged and paid for by the Sponsor/Exhibitor directly with the exhibition supplier.
5. Sponsor/Exhibitor activities
5.1. Sponsor/Exhibitor is responsible for obtaining any approvals, permits, or licences required under local, State, or Federal laws that are applicable to their Sponsor activity.
5.1. The ACG will not be subject to any liability whatsoever in connection with Sponsor/Exhibitor agreements with third parties.
5.3. Sponsor/Exhibitor may only conduct competitions or offer prizes with the written permission of the ACG.
5.4. Promotion of Sponsor/Exhibitor products and services may only take place within the Sponsor/Exhibitor’s allocated exhibit unless expressly stipulated as part of the entitlements.
5.5. It is strictly forbidden to allow anyone who is not a paid and registered Sponsor/Exhibitor to solicit or canvass on the Sponsor/Exhibitor’s behalf.
5.6. Exhibit information and requirements will be provided to the Sponsor/Exhibitor before the event to assist in the preparation of exhibit material. The ACG reserves the right to alter or change the platform and aesthetics of the exhibition area and will advise the Sponsor/Exhibitor of any such changes.
6. Interactive sponsor/exhibitor exhibits
6.1. Sponsor/Exhibitor is responsible for obtaining any approvals, permits, or licences required under local, State, or Federal laws that are applicable to the Sponsor/Exhibitor’s interactive exhibit.
6.2. Any interactive Sponsor/Exhibitor exhibits that are deemed to be hazardous by the venue, or fall under venue safety protocols, are subject to whatever documentation the venue requires.
6.3. The ACG will not be subject to any liability whatsoever in connection with Sponsor/Exhibitor interactive exhibits.
6.4. A representative from the Sponsor/Exhibitor company must be in attendance when the interactive exhibit is in use.
6.5. The interactive exhibit must remain within the confines of the exhibition booth at all times, unless agreed to by the venue and the ACG prior to the commencement of the event.
7. Registration of sponsor/exhibitor attendees
7.1. Registration for an event, if included as an entitlement of the Sponsorship Package, will be made in communication with the ACG.
7.2. Additional registrations, or where registration/s are not included in the sponsorship entitlements, will be made through the event’s website or via the registration form in communication with the ACG.
7.3. Attendee fees (if applicable) are as stated on the event’s website or on the registration form, unless otherwise negotiated with the ACG.
7.4. Attendees will receive confirmation of registration and event information from the ACG via email and on the event’s website.
7.5. Please refer to the Event Attendee Terms & Conditions. Sponsor attendees acknowledge that they are bound to the Event Attendee Terms & Conditions.

12. Cancellation of sponsorship
12.1. The Sponsor/Exhibitor may request cancellation of their sponsorship in writing to the ACG. Any funds already paid will be rolled over to a future ACG event. A refund will not be issued.
12.2. Upon cancellation, the ACG shall be entitled to remove the Sponsor/Exhibitor’s name, logo, and any other material relating to the Sponsor/Exhibitor from all event media. Due to the time constraints involved with the preparation of event material, the Sponsor/Exhibitor acknowledges that the ACG may be unable to remove or cover the Sponsor/Exhibitor’s details upon cancellation.
12.3. Accordingly, the Sponsor/Exhibitor further acknowledges that the ACG may, at its discretion, continue to use this information after cancellation. However, the exhibit may be allocated to another Sponsor/Exhibitor at the discretion of the ACG.
